Job Purpose:
Responsible for managing contracts and legal document administration, required to manage records and update all concerned parties on progress. Manage the consolidation of comments from all stakeholders and facilitate the signature processes. Responsible for updating contract and legal document templates, along with guidance note and checklists, for the department to serve the wider Group, on the instruction of the lawyers in the department. Maintaining confidentiality among the executive-level team and representing the organization to other businesses at the executive level. Responsible for managing administrative Team and organizing works schedules and directing administration workflows.
Roles and Responsibilities:
Assist in formatting contracts, templates, forms, general conditions, regulations, policies and department work instructions as directed by the management.
Prepare amendments to minor contracts for review by the Line Manager. Create and update sensitive contracts via Contracts Approval System (Q-CAS) as instructed.
Collate suggested changes to templates, checklists and guidance notes and propose amendments to Line Manager.
Review all existing contracts in a systematic manner, conducting audits with the relevant stakeholders on all internal process ensuring compliance with the company/regulatory standards.
Responds to queries and requests for information and assistance, interprets and explains procedures and policies pertaining to internal inquiries of management and staff. Participates in developing an excellent understanding of the business environment, internal organization and ways of working for all the staff within the department.
Responsible to monitor system-organization accuracy of physical and digital records.
Create language standards and guidelines for existing and new contracts.
Resolves complex administrative problems independently but ensures that the structure, standards, processes and tools as defined by the company are in place and maintained. Monitor compliance with relevant policies and procedures and sound business practices and provide guidance / interventions / escalate concerns when required. Assess the system of internal controls to recommend and implement improvements.
