Job Description:

Job Purpose
  • Lead the onboarding, benefits & time office team and organize, streamline, and oversee the onboarding process for new hires (induction, documentation & BGV), benefits operations, and timesheet in the organization.

Key Accountabilities

Strategic Activities

  • Custodian of processes including but not limited to employee preboarding, onboarding and induction and ensure positive & consistent employee experience; put in place best in class practices onboarding & timesheet management
  • Partner with Functional Leaders to build and drive onboarding & induction, benefits operations & timesheet strategy aligned to overall organization strategy
  • Drive the development of onboarding policies & processes for Air India

Onboarding, Benefits & Time Office

  • Facilitate the execution of the engagement plan throughout the onboarding journey of the new hires
  • Manage the end-to-end onboarding process, ensuring a great experience for new employees and a smooth start to their roles
  • Lead specialized teams for implementing best in industry onboarding processes for new hires through conducting high level research & competitor benchspaning
  • Supervise the creation of policies and employee handbooks for the purpose of onboarding, benefits operations & timesheet management
  • Supervise all the onboarding formalities including but not limited to offer release, offer acceptance, legal obligation, document collection, and training and orientation, etc.
  • Oversee the crafting and roll-out of communication with information about the company, onboarding agenda, equipment handover, dress code, parking options, perks, and similar items
  • Ensure new hires have technical assistance to properly set up their hardware/software and distribute manuals, passwords, and guidelines, as needed
  • Facilitate the execution of the benefits operations across the entire organization
  • Oversee and administer employee benefits programs, encompassing health insurance, retirement plans, life insurance, disability coverage, and additional offerings
  • Oversee updates or changes to benefits due to life events such as marriage or childbirth
  • Collaborate with insurance and retirement plan providers to accurately enroll employee data and ensure timely delivery of benefits
  • Address inquiries from employees regarding benefits, coverage, and eligibility during enrollment periods
  • Ensure comprehensive delivery of information to employees about benefits plan coverage, options, deductibles, employer contributions, and enrollment deadlines
  • Monitor the weekly timesheet logs for all functions across the organization and track attendance by department
  • Challenge status quo and proactively identify process improvements

  Team Management

  • Create an atmosphere that promotes moral, ethical, and legal business conduct
  • Ensure continuous interaction with Talent Acquisition and Workforce Planning team to understand their training requirements

Any other additional responsibility could be assigned to the role holder from time to time as a standalone project or regular work. The same would be suitably represented in the Primary responsibilities and agreed between the incumbent, reporting officer and HR.

  • Partner with Functional Leaders to build and drive onboarding & induction strategy aligned to overall organization strategy

  • Liaise with functions to register the new hires into the system and arrange for the required hardware and software

IT Ops

  • Collaborate on providing technical assistance to properly set up their hardware/software and distribute manuals, passwords, and guidelines, as needed

HR Technology

  • Ensure new employee profiles are added in the internal HR systems

HR Operations

  • Coordinate with HR Operations Team to finalize lean systems and processes for documentation, record-keeping, data management etc. with relation to onboarding & induction processes

HRBP

  • Liaise with HR Business Partners for various functions on a regular basis to understand function specific requirements

External Interfaces

Third Party Vendors

  • Provide system, tools and processes to help streamline the onboarding and induction of new hires

New Joiners

  • Coordinate with New joiners on data collection, verification and overall onboarding process

Educational and Experience Requirements

Minimum Education requirements

  • Masters/MBA/PGDM/PGP/PG degree/diploma in Personnel/Human Resource Management

Experience

Minimum

Desired

  • 8+ years of experience in running CoEs in HR, managing initiatives and programs pertaining to Induction and Onboarding
  • 10+ years of experience COEs in HR with focus on Induction and Onboarding
  • Experience in the aviation sector is an added advantage
